Job Description: Office Assistant
The Office Assistant will perform a wide range of administrative and support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
Job Responsibilities
- Answer, screen and transfer inbound phone calls
- File and update contact information of customers, suppliers and external partners
- Maintain electronic and hard copy filing system
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
- Manage multiple online storage accounts
- Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
- Record, compile, transcribe and distribute minutes of meetings
- General clerical duties including photocopying, fax and mailing
Job Requirements
- Familiarity with office organization and optimization techniques
- High degree of multi-tasking and time management capability
- Excellent written and verbal communication skills
- Integrity and professionalism
- Proficiency in computer skills and MS office (Word, Excel, PowerPoint, Outlook)
- Verifiable high school diploma or GED
- B.S. in Chemistry, Material Science, or Engineering is a bonus
- Proven experience as a secretary or administrative assistant (a minimum 12 months of administrative/clerical experience) is preferred
